Activity Messaging

In the Activities screen, users can view actions performed on files, share messages, and reply to messages. The New Message option allows users to share information about actions performed on the document and notify tagged users. The activities screen is only accessible to users who are authorized for the relevant file or document.

Message Sharing Steps:

  1. Sharing a New Message:

    • Click on the New Message field in the Activities screen.
    • Enter the message text, and use the rich text editor below the text box to add more detailed content (links, tags, etc.).

  2. Tagging Users and Adding References:

    • You can tag users in the message using @username. This will notify the tagged user within the message.
    • Additionally, documents or forms can be referenced within the message content. To reference a document, use "#" followed by the document name; to reference a workflow form, use "!" followed by the request number.

  3. Replying Option:

    • In the new message, you can choose whether Everyone can reply or Only mentioned users can reply.

  4. Sending the Message:

    • After writing the message, click the Send button to share the message. Users tagged in the activity message will be notified via email and Synergy notification.
  • Activities Screen: All shared messages are listed here and ordered from oldest to newest.
  • Replying: Messages can be selected to reply. Replies will appear directly below the message. If the reply option is restricted to tagged users, others will not be able to use the Reply option.
  • Tagging: When users are tagged in a message, they are notified via both Synergy's interface notifications and email notifications.
  • Notifications: Comments on activity messages are sent to users as notifications by the system.
  • Authorization: The Activities tab is subject to authorization. The "Activities" permission under the User Interface section in the Security screen must be granted. Additionally, the user must have access to the relevant file to view the activity.
